Participant Guide

AKATSUKI SWT (Science Working Team) Splinter Meeting

Date: September 10 (Mon.), 2018 10:00-18:00
Venue: Room D201, Graduate School of Environmental Science, Hokkaido University, Sapporo Campus

The Akatsuki team welcomes your participation in the AKATSUKI SWT (Science Working Team) Splinter Meeting, which will take place at the Graduate School of Environmental Science in the Sapporo Campus of Hokkaido University. It will start at 10am and will end at 6pm (agenda TBD) followed by non-organized dinner in the city.

As Sapporo and Niseko (the IVC2018 venue) are very apart, to attend the SWT meeting on 10th, you definitely need to stay in Sapporo the nights of Sept. 9th and 10th. Please book accommodation in Sapporo yourself. We are not arranging accommodation in Sapporo for the SWT meeting.

For those staying in Sapporo on the night of the 10th, chartered bus transportation to Niseko on the morning of the 11th will be provided (free but reservation required, see "Transportation" below).

Transportation

From New Chitose Airport (CTS) (located in the city of Chitose near Sapporo) to Hilton Niseko Village Hotel.

  • A shuttle bus service (Niseko Village Express) operates between the New Chitose Airport and Hilton Niseko Village Hotel (reservation required <niseko_reservations@hilton.com>).

    The service runs four times a day at a cost of 4,000 JPY one way. One way travel time is approx. 2.5 hours.
  • (Recommended) We will charter a bus from Sapporo to the hotel on the morning of Sept. 11 free of charge for conference participants (reservation required: reservations are accepted from the conference registration page). The bus is scheduled to leave at 8:30 am from Hokkaido University. The charter bus is most convenient for the SWT meeting participants, but can be used even if you do not attend the SWT meeting.

    A train from the airport (CTS) to Sapporo station operates every 15 to 20 min. (approx. 40 min, 1,070 JPY).

    We are not arranging accommodation in Sapporo. Please do so yourself. Hotels in Sapporo typically cost 10,000-20,000 JPY/night.

From Hilton Niseko Village Hotel to New Chitose Airport.

  • We will charter a bus (free of charge) to the airport on Sept. 15th departing the hotel at 10:00 am. Travel time to the airport is roughly 2.5-3 hours.
  • The hotel shuttle bus (4,000 JPY; see below for schedule details) will also be available upon reservation <niseko_reservations@hilton.com>.

Additonal Access Information

Accommodation (Hilton Niseko Village Hotel)

  • Single use: 10,450 JPY per night
  • Shared (by two): 8,150 JPY per night per person
  • Shared (by three): 7,150 JPY per night per person

Room rates include tax, service charges, wireless internet and buffet breakfast.

Discounted room rates have been negotiated with the hotel for a period of 6 nights (IN: 10 Sep, OUT: 16 Sep). If your stay is within this period, to be eligible for the discount rate, your hotel reservation should be made via the Conference registration site (NOT directly with the hotel).The registration site is for booking only. Attendees are asked to make hotel payment directly to the hotel on check out.

If you are sharing a room with other conference attendees, your planned roommate's CPS user number will be required at the time of online registration. Please confirm this information before registering.

The LOC will make room sharing selections if not specified at the time of registration.

Lunch and dinner

Lunch during the conference (Sept. 11th-14th), the conference welcome dinner on the evening of the 11th, and the conference banquet on the 14th are provided at the hotel free of charge for participants.

Excursion (September 13 afternoon, free, reservation required)

Light hiking to Mt. Annupuri: We will charter a bus to Goshiki Onsen (five-colored hot spring) via Annupuri Gondola station. On this trip, you have a variety of options:

  • Hiking a nature trail from Goshiki Onsen to the summit of Mt. Annupuri (round trip approx. 4 hours)
  • Enjoy the Goshiki Onsen hot spring
  • Take a gondola to go up Mt. Annupuri
Note:
Mt. Annupuri has ski resorts on its southern slope, which includes Niseko Village (where the Hilton Hotel venue is situated). Annupuri Gondola is in the ski resort next to Niseko Village, and is the only gondola operated in summertime. Goshiki Onsen is on the western side of Mt. Annupuri, and it is separated from the ski resorts. Goshiki Onsen has authentic hot springs with a variety of colors (see http://goshiki-onsen.com/, the web site is in Japanese but pictures are available). The hiking route to the summit of Mt. Annupuri starts from Goshiki Onsen.

Accompanying Person Attendance and Registration

Accompanying persons are welcome to attend Conference lunches, dinners and the excursion.
Accompanying person registration allows access to the following at a flat fee of 30,000 JPY.

Bus reservations for your accompanying person can be added to your online registration by selecting the number of people for the bus reservation.

The online registration system is otherwise not set up to handle accompanying person registrations so to register you fiance, please email us at <akatsuki-v2018rgst@cps-jp.org> before August 10, providing your accompanying person's name and letting us know if your accompanying person intends to attend all of the following:

Please note, we will request payment of the 30,000 JPY fee in cash (JPY) on site.
Please also note, a 100% cancellation fee will apply after August 21.

Registration

  • Regular (late) registration fee: 28,000 JPY
    (For partial participation or registration after Apr. 7 Apr. 19, 00:00 (UTC-12))
Note:
The Early-bird category is set not just for early registrations but is arranged in accordance with the goal of the Fujihara seminar to promote academic collaboration among scientists through face-to-face discussion. As such, the Early-bird fee is restricted to participation over the whole period of the Conference (Sept. 11-14). If you prefer partial participation, please select the regular registration category.

Payment

Registration opens on March 1. Payment of registration fees should be made by credit card at the time of registration. Payment by bank transfer is accepted from domestic banks (within Japan) only. Your hotel accommodation fee should be paid directly to the hotel on site when you check out.

Cancellations and Refunds

To cancel a completed registration, please contact the Secretariat before August 20 (Mon.) at <akatsuki-v2018rgst@cps-jp.org>.
Cancellation fees do not apply to cancellations made on or before August 20 (Mon.).

Refunds will not be provided on cancellation requests made on of after August 21 (Tue.).

Travel Support

Thanks to the Fujihara Foundation, we have a budget to support travel.
The amount is significant, but it is far from enough to allow us to support the entire attendee base. As such, we need to use it efficiently.

Travel support is limited to presenters who submit abstracts during the regular submission period until April 6 April 18 (you can apply for travel support when you submit an abstract).

The SOC of the Conference will select participants to support based on a scientific evaluation of the abstract and necessity. We will allocate a considerable portion of the budget to supporting early career scientists. If you are a student or a post-doc, do not forget to provide your job/student status when you obtain a (or renew your) CPS account, which is required to log-in to the abstract submission system.

The amount of individual travel support is either 120,000, 220,000, or 320,000 yen.When you apply, please select one of the three amounts after carefully examining your needs. Travel support is meant to cover transportation, accommodation, and daily needs.

All participants (whether supported or not) need to pay the registration fee. The early-bird registration fee, however, is only 5,000 yen. The Fujihara Foundation supports two dinners (banquet & reception) and lunch over the entire conference period for all participants. Therefore, you may not require a significant daily allowance. Also, a portion of ground transportation is supported (bus from Sapporo to Niseko on Sep. 11 and from Niseko to New Chitose Airport on Sep. 15). If available, participation on partial support from your own grant is welcomed.
